2008-2009 POLICY FOR HOSTING A NADE CERTIFICATION TRAINING INSTITUTE
The NADE Certification Council has established this policy for national organizations, NADE State and Regional Chapters, institutions and others that are hosting a NADE Certification Training Institute.
- 1. A NADE Certification Training Institute is a full day, (seven hour) program conducted by a two-member team of NADE Certification Council-approved Trainers. If the Institute is part of a conference program, the host organization determines how the Institute will best fit the format of the conference. A pre-conference or post-conference session is recommended.
- 2. In accordance with its policies, NADE charges to conduct a Certification Training Institute in order to cover its costs. Payment is due immediately following delivery of the Institute. Those fees are determined by the NADE Executive Board in consultation with the Certification Council. For the current academic year, the fee due to NADE is $175.00 per person. These fees enable the NADE Certification Council to cover:
- The cost of duplicating and shipping training
- Travel, room and board for two Trainers
- 3. The host organization is responsible for costs related to beverage and food service for participants and Trainers, audio-visual equipment including overhead projectors or a PowerPoint set-up (to be determined with the Training Coordinator), and scheduling a room for the Institute. Therefore, the Council recommends charging at least $215 to cover these additional costs. Details are discussed below.
- 4. When the NADE Certification Institute is the only or the main portion of a conference, the host organization will provide two conference registration waivers, one for each of the two NADE certification Training Institute trainers.
- 5. NADE chapters are encouraged to apply for a Type C Grant to help offset the costs of hosting an Institute at their annual conference. (See NADE Policies and Procedures Handbook).
- 6. An Institute will be conducted for a minimum enrollment of 12 participants and a maximum enrollment of 60 participants. The host may decide to establish a higher minimum to ensure that expenses to the host will be met. However, the maximum registration may not exceed 60. At least three weeks prior to date of the Institute, the host will confirm the number of registrants for the Institute with the Training Coordinator. This confirmation deadline enables the host to guarantee that there is sufficient enrollment for the Institute and notify the training team of the number of participant manuals that are to be prepared and shipped.
- 7. The host is responsible for promoting the institute. If requested, the NADE Certification Council Training Coordinator will provide a 50-word summary and 250-word Institute description suitable for a conference program book and post the training date on the NADE Certification Council’s web site. The Certification Council will also, upon request, provide a registration template and promotional flyer for duplication and distribution. NADE chapters are also reminded they may request address labels for NADE members in the host region(s).
- 8. The host is responsible for reserving an Institute room for the day of the training, generally from 8:30 a.m. to 5:00 p.m., and for providing the audio-visual equipment. The host pays for these expenses. The Institute will generally be conducted from 9:00 a.m. to 4:30 p.m. Equipment and room set-up requirements include:
- A computer and projection system to support PC-version PowerPoint
- Flip charts and markers
- Chairs and tables for participants
- A table next to the PowerPoint set up for Trainers’ materials
- A table by the room entrance for participant check-in and training material distribution
- 9. The Institute host is requested to provide beverage and food services for the comfort and convenience of the participants and the training team. The host pays these expenses.
- Refreshments prior to and/or for mid-morning break
- Refreshments for afternoon break
- A one-hour lunch break. Because of time requirements, a pre-arranged lunch option, such as a box lunch, is recommended. Any beverage or food arrangement requiring the collection of money is the responsibility of the host organization
- 10. The Institute host will assign a volunteer liaison to the Institute to assist with registration, distributing materials, processing late arrivals, administering evaluations, and other tasks as needed. Trainers will supply the NADE Certification Training Institute Evaluation Form; the Institute host is welcome to administer an evaluation form as well.
- 11. The Institute host is responsible for collecting names of registrants and registration fees. Registrants’ names and contact information must be provided to the on-site Trainers; an Excel spreadsheet for this purpose is available from the Training Coordinator. The host is responsible to forward all registration fees, clearly delineating the corresponding institute registrants, to the NADE Executive Assistant within two weeks following the Institute. The Institute Trainers are responsible to forward that information to the Council Budget Coordinator, the Council Chair, and the Council Database Manager.
- 12. Institute Trainers will introduce themselves to the participants at the beginning of the session. Trainers will administer and collect the Participant Training Verification form so that all participants will receive validation for having participated in an Institute. The information will be processed and entered into the NADE Certification database.
- 13. The host organization will provide information about local transportation and hotel accommodations for Trainers on the Host Application and Contract (PDF version). If discounted arrangements are made with a hotel, the host is responsible for alerting the Training Coordinator, who will forward that information to the Trainers.
- 14. At least three weeks before the Institute, the host will provide the Certification Council Training Coordinator a name and address to whom The NADE Certification Participant Training Manuals are to be shipped. The shipment will include a copy for each person registered. Unused manuals are to be returned to the Trainers present by the host during or immediately after the Institute.
- 15. The host will provide information to participants about purchasing the NADE Self-Evaluation Guides for use in the Self-Study. Information about using additional sources such as the CAS Self-Assessment Guides: Learning Assistance Programs and Hunter Boylan’s What Works: Research-Based Best Practices in Developmental Education may also be provided. Current purchase information is available through the Certification website, www.nadecertification.net
- 16. The host institution must apply to hold a NADE Certification Training Institute by completing and returning the NADE Certification Training Institute Host Application and Contract (PDF version) to the Certification Council Training Coordinator. Submission of the application to host a NADE Certification Training Institute represents acceptance of these policies.
